CAPE will audit the “fan journey” designed by the agency to ensure it is logistically sound and compliant with local safety and venue regulations.

Safety

Every stop will be warm, welcoming, and fully prepared, from slip-resistant surfaces at the ice castle to proper food handling at pizza drops and hot cocoa stations. Indoor events, including the sleepover and Friendsgiving dinner, will have clear crowd flow and capacity plans so every moment feels fun, not cramped.

Regulation

Permitting will be addressed proactively across all eight stops. We’ll coordinate with venues, city agencies, and partners such as FIT and Rockefeller Center to ensure approvals are secured and the schedule stays on track. Any alcohol service at Friendsgiving or the sleepover will comply with SLA licensing. No surprises.

Security

Each stop will have a tailored security plan, covering crowd management at product drops and protective measures for celebrity guests. Timed entry and controlled distribution will ensure high energy while keeping fan experiences smooth and safe.

Continuity

The schedule will include smart buffers so no single delay disrupts the story. A dedicated production lead will track assets, inventory, and talent across all stops, and every outdoor activation will have a weather contingency to keep the tour moving seamlessly no matter what.

  • Kickoff alignment sessions with the Internal and External PR teams

  • Review and incorporate feedback on tone, visual direction, and design concepts

  • Continue to design elements and asset building

  • CAPE Team to supply a list of appearance spots (NBC affiliates)

Q4. WEEKS 5-6
(Early-Mid October)

  • Finalize content with approved messaging for branding and advertising

  • Refine visual elements

  • CAPE Team receives feedback on appearance spots and confirms selection

  • Deliver final presentation of the webdeck and ROS.

    • Lays out branding, venue selection, staffing, forecast, etc.

    • Spatial layouts

    • Materials/furnishing specifications

  • Merchandise orders and vendor booking confirmed and outlined

    • Merchandise, catering for staff, seating, food/drink for Pop Mart team and guests, security, etc.

  • Ship out and store costume/merchandise

    • Storage logistics

  • Rehearsal for live activation

    • CAPE rehearses ROS with team and irons out final details
